Billboard845 is a New York billboard advertising business. This policy describes how this website handles information. It is written to match the website as implemented. It does not claim certifications, audit results, or retention schedules that have not been established.

Who we are

Billboard845 operates a digital billboard advertising location at 75 Lake Street, Newburgh, NY 12550. That address is the advertising display location, not a public business office, and it is not used as a mailing address on this website.

Information collected through the contact form

The advertising inquiry form collects:

• Full name (required)
• Business name (required)
• Email address (required)
• Telephone number (required)
• Preferred campaign start date (optional)
• Campaign duration (optional)
• Advertising interest / message (optional)

The form also includes a hidden honeypot field used only to ignore automated submissions. If that field is filled, the submission is discarded and is not treated as a real inquiry.

When a visitor submits the form, the website also uses a session cookie (and, if needed, a CSRF cookie) to confirm that the request came from this site. Failed or abusive submissions may be rate-limited using a hashed record of the connecting IP address stored in a private server file. Inquiry emails themselves do not include that hashed IP record.

How inquiries are used

Form submissions are used to respond to advertising inquiries: to discuss rates, availability, creative specifications, and related Billboard845 advertising services. We do not use the form to run unrelated marketing lists, and this website does not sell the information visitors submit.

The form is not intended for children, and we do not knowingly collect information from children through this website.

Email communications

When email delivery is configured, a successful inquiry is sent to info@billboard845.com using authenticated SMTP on the SiteGround hosting account. The visitor’s email address is used as the reply-to address so Billboard845 can respond. The visitor is not used as the From address.

Until SMTP is configured, the website does not send inquiry emails. In that state, the form tells visitors to call or email Billboard845 directly.

If you email or call us, we will use the information you provide to reply to that conversation.

Website analytics

This website is configured to load Google Analytics 4. Analytics is used to understand aggregate use of the site, such as whether visitors submit an inquiry or click a telephone, email, video, or directions link. Measurement is requested with IP anonymization. Event tracking does not include names, email addresses, telephone numbers, or form field values.

When analytics is enabled, the events that may be recorded are:

• generate_lead — after a successful form submission, once per submission
• click_get_rates — an advertising-rates call-to-action is clicked
• click_phone — a telephone link is clicked
• click_email — an email link is clicked
• video_play — a visitor activates the billboard video
• click_directions — a map or directions link is clicked

If you later need a consent banner because of where you advertise or who you target, do not enable analytics until that consent process is in place.

Cookies and similar storage

This website uses:

• A session cookie required for form security (CSRF protection)
• A same-site CSRF cookie only if the session token cannot be issued in the usual way
• Browser session storage on the thank-you page so a successful inquiry is not counted twice if the page is refreshed
• Cookies or similar identifiers set by Google Analytics 4

The website does not set advertising cookies of its own, and it does not use a third-party tag manager.

Vimeo video embeds

The homepage can play a Vimeo video of the Lake Street billboard. The Vimeo player is not loaded until a visitor chooses Play. The embed requests Vimeo’s Do Not Track player mode (dnt=1). After Play, Vimeo may set its own cookies or collect playback data under Vimeo’s privacy policy. We do not autoplay a background video.

Other third-party services

• Google Maps. “View location” and directions links open Google Maps in a new tab. Maps is not embedded on the page. Google’s privacy policy applies after you leave this website.
• SiteGround. The website is hosted on SiteGround. Hosting logs and mail delivery follow SiteGround’s practices and this site’s configuration.
• Google Analytics. See “Website analytics” above.

Telephone and email links open the visitor’s own phone or mail application.

Data retention

Inquiry messages that are emailed to Billboard845 are kept as ordinary business correspondence for as long as they are needed to respond and to maintain advertising records. A specific numbered retention period has not been published because it has not been formally established.

Rate-limiting files are temporary working files on the server. Session data lasts for the browsing session.

Information security

The website is served over HTTPS when the host provides TLS. Form submissions use CSRF protection, honeypot filtering, server-side validation, input sanitization, and rate limiting. SMTP credentials are not stored in public website files. No security certification or “guaranteed security” claim is made.

Your choices

You can contact Billboard845 without using the form by calling 845-325-2465 or emailing info@billboard845.com. You can ask us to correct or delete inquiry information we hold, or to send a copy of what you submitted, by emailing that address. Browser controls can block or delete cookies.

Changes

If the website’s collection practices change, this page will be updated. The “Last updated” date above will change when the policy is revised.
